Community space: How does it work?

A space becomes community as soon as the new dedicated “Community” application is instantiated AND  identified as the space’s homepage. This application sets up the registration mechanism for this space.

Define a homepage for community members, and different content for non-members. The application manager write the space presentation via the WYSIWYG editor. They define the objectives, functioning, and a possible schedule. Thus, the space’s public homepage presents this content to all non-member users. It also shows the number of members and displays a Join Space button.

Registration

Users can register automatically or after administrator approval. This choice is configurable. In case of validation, the administrator receives a space notification asking to accept or reject the request. Once the request is accepted, the user is added to the selected role from a dropdown list containing the three possible roles (Readers, Writers, and Publishers) of the parent space. The user receives a notification indicating the decision, accompanied by an (optional) message from the administrator.

Unsubscription

Users can leave the project space at any time. A form asks them the reasons of their departure. The system sends a notification to the administrator to inform them of this departure. Please Note: The information (reasons and message) is not kept in the history; only the departure is recorded.

The history of registrations and unsubscriptions (user, date, registration/unsubscription) is recorded and can be consulted. This information can be exported in CSV format. When an account is deleted, the user is automatically unsubscribed from project spaces.

Community charter for the space

We advise you to define a charter linked to this community space. As soon as the charter is defined, it is displayed when a user wants to join the space. They must read it and accept it before joining the community.

Notifying easly the entire Community

For each community space, as soon as the first membership is validated, the system creates a user group. This group is automatically added to the “readers” of the space and contains all community members, regardless of their role within the space. Thus, facilitators and users of the community space will interact together, all as members.

It’s very simple to send a notification to the entire group, this “community”.
