Online Editing

For many years, online editing of a document 📄 has been available in Silverpeas via the “Edit Online” action in the contextual menu of a file.

This action opens the document in MS Office or LibreOffice. This has the major advantage of allowing the document to be modified directly through the software used daily by the user, the one installed on their computer. This avoids the risky gymnastics of:

  • 💾 Saving the document on your computer,
  • 📄 opening the document,
  • 📝 modifying it,
  • 💾 saving it
  • 📁 then re-uploading it to Silverpeas….
  • …. ❌ with the risk that modifications have been made in the meantime….

Thanks to the WEBDAV protocol and custom protocols, this online editing is easy to install and deploy.

And now, directly more light : directly from your browser

With Silverpeas 6.2, document editing can be done directly in the browser, without going through software installed on the user’s computer 💻, convenient!

This new way of modifying a document does not replace the online editing mentioned previously. But it comes as a complement for different uses and contexts.
There are several providers of in-browser editing. Silverpeas, as an open-source solution, has chosen the LibreOffice Online solution since it also follows our guiding principle: open-source.

The new “Edit in Browser” action appears in the contextual menu of each office file, the document is automatically marked as “Reserved”.
Of course, this action is only presented to the user if the document is indeed supported by LibreOffice Online and if the user has editing rights on the document.

In this new tab, the user can display the side panel dedicated to layout. The complete interface currently looks like this:

For even more comfort and to abstract from browser usage, “Full Screen” mode is supported. As with online editing, the user releases the modified document from the browser when they have finished their modifications and want them to be visible to all users. This editing is compatible with Silverpeas version tracking.

SIMULTANEOUS EDITING BY MULTIPLE USERS 👨🏻‍🤝‍👨🏻

Editing from the browser also allows simultaneous modification of a document by multiple users, within the limits of the infrastructure capabilities handling LibreOffice Online.
The new “Enable Simultaneous Editing” action allows opening or closing simultaneous editing. By default, simultaneous editing is allowed. And in this case, all users who have the right to modify the document can do so simultaneously. From the interface, the list of users present on the document is available. A color is associated with each user to easily follow the modifications of each other.

The Revision tab allows for fine management of modifications proposed by others. Each modification can be accepted or rejected. It is also possible to accept (or reject) all modifications in a single operation. Added, modified, or deleted areas are highlighted with the user’s color. Additionally, comments can be associated with elements of the document.
